About the Job

We are seeking a highly organized and proactive Office Operations Assistant to oversee day-to-day office operations and ensure seamless functioning across various administrative tasks. This role requires strong expertise in vendor management, travel coordination, office administration, and compliance management. As a key player in the operations team, the candidate will support the Country Head and ensure that the office operates efficiently while adhering to India compliance standards.


Key Responsibilities:

1. Vendor Management:

  • Manage relationships with vendors for timely delivery of services and products.
  • Coordinate issuance of employee ID cards, joining kits, and other onboarding essentials.
  • Oversee centralized purchasing and stocking of office resources.
  • Coordinate with vendors for employee celebrations, such as birthday gifts or office events.

2. Travel Management:

  • Organize and coordinate business travel arrangements including flights, accommodation, and local transportation.
  • Ensure compliance with company travel policies and budgets.

3. Office Administration:

  • Maintain the smooth functioning of daily office operations.
  • Manage and restock office supplies and materials.
  • Address and resolve any issues related to office facilities promptly.

4. Office Snack Management:

  • Ensure regular supply and diversity of office snacks by coordinating with vendors.

5. Quarterly Expense Tracking:

  • Track and monitor office-related expenses to ensure adherence to budgets.
  • Prepare and share quarterly expense reports with stakeholders.

6. India Compliance Management:

  • Ensure compliance with local regulations and company policies in India.
  • Collaborate with HR and other departments to meet regulatory requirements.

7. IT Asset Management & Troubleshooting:

  • Oversee IT asset management, ensuring employees have the necessary tools.
  • Address basic IT troubleshooting issues and coordinate with external service providers when needed.

8. Assisting the Country Head:

Assist in scheduling, communication, and coordination tasks to ensure smooth workflows.

Provide administrative and operational support to the Country Head.


Qualifications:

Experience: 9 to 12 years in office operations, vendor management, or a similar role.
Technical Proficiency: Familiarity with IT troubleshooting, office software tools, and asset management systems.
Organizational Skills: Exceptional ability to manage multiple tasks, prioritize responsibilities, and adhere to deadlines.
Compliance Knowledge: Strong understanding of India compliance requirements for office management.
Communication Skills: Excellent verbal and written communication to collaborate across teams and with vendors.
