FOR AMBULATORY SURGERY CENTER CHAINS

Case done, claim unbilled, implant carve-out still unpaid.

As your AI operating partner, we start with a fixed-fee discovery of one business office, then build and run what is worth rebuilding.

Table titled where cash, cost and risk sit, comparing today with once rebuilt. Cases on the schedule: auth and pre-op paperwork chased late, then auth rechecked and chart gaps tracked. Cash from cases done: unbilled until the op note is signed, then unsigned notes chased and AI prepping codes. Implant margin: invoice chased after the case, then invoice, PO and claim matched. Paid to contract: underpayments caught when someone looks, then every remit line checked. Each acquired center: its own PM system worked by hand, then the same workflows run inside it. New surgeon onboarding: files assembled center by center, then checks run and expirations tracked.
A surgery center pattern, not a client result; measured results are on our proof page.

Who we mean

  • ASC chains and management companies
  • Ortho and spine centers with implants
  • Centers with workers' comp and PI cases
  • CBOs working many centers

Where the hours go

  • Cases cancel day-of over missing paperwork.

Auth reworked when a CPT is added; H&P and labs chased late. Automation tracks; nurses review.

  • Implant carve-outs paid late, or never.

Bill-only implants come with the rep; PO chased after. AI matches invoice, PO and claim.

  • Each acquisition adds a back office to run.

Acquired centers keep their own PM system. Automation runs the same steps inside each one.

  • Cash sits in cases done but not billed.

Charge entry waits on unsigned op notes. Automation chases them; AI preps codes for coders.

  • Underpayments found only when someone looks.

835s post by center; procedure discounts rechecked by hand. Automation checks each line; AI drafts appeals.

  • New surgeons wait on files to start booking.

Every center needs its own credentialing file. Automation runs license, NPDB and OIG checks, tracks expirations.

Flow titled where a case's cash waits, and who takes it, from booking to payment. Every step is staff time today. Once rebuilt, automation chases auth and chart gaps, chases the unsigned op note and flags a remit below contract; AI matches the implant invoice; a coder approves the codes before the claim drops.

What we build and run

Where a case's cash waits.

Automation chases auth, chart gaps and unsigned notes and checks remits; AI matches implant invoices. Coders and your staff approve.

  • Needs PM, clearinghouse, contracts
  • Payer rules kept when billers leave
  • Same workflows at each new center
Table titled same tasks, sorted by who takes them. The twelve business office tasks done by hand today sit in lanes. Automation, front end: booking packets, eligibility reruns, auth checks by CPT. Automation, back end: posting, underpayment checks, self-pay estimates, credentialing files. AI: implant PO and invoice matching, op note code prep. Coders and your team: code sign-off, added CPT auth updates, denials by payer. Untouched: the OR, the surgeon's op note, privileging.

What we do, and what we leave alone

We change the business office, not the OR.

Clinicians keep the pre-op call, clearance review and the op note; your medical staff keeps privileging. We take the business office work.

    How we handle regulated data

    Design posture, not certification

    Request documentation
    BAA
Where a department handles protected health information, we execute a business associate agreement before Trace is installed or any data is accessed.
    HIPAA
We execute a Business Associate Agreement before any engagement that touches PHI, and PHI is accessed only inside client-controlled systems by named individuals. Our first healthcare engagement under BAA is in progress.
    Posture
Ready and aligned describe design posture, not certification. Reliable Group does not currently hold SOC 2 or ISO 27001 certification; our teams operate inside client-certified environments under client controls.
