For healthcare staffing firms

Starts that slip, short pays that sit in DSO.

An AI operating partner for credentialing, payroll and billing at travel, per diem and locums firms.

Table for a staffing firm's executive team comparing today with once rebuilt across fill on open orders, start dates, hours billed, cash and DSO, payroll and pay accuracy, and audit readiness, from profiles rekeyed per VMS and short pays left untraced to profiles formatted per VMS for the recruiter to submit, missing items flagged as uploads arrive and short pays traced with disputes drafted.
Where a staffing back office holds up fill, cash and audit readiness. A pattern, not a client result.

Where starts, margin and cash leak

  • Orders filled before we submit.

One profile rekeyed into each client VMS as submittal caps fill. Automation formats it; recruiters still submit.

  • Clinicians who take another offer while files wait.

TB, titers, BLS, fit test and drug screen chased per facility checklist. Automation sends reminders; AI matches uploads.

  • Locums revenue waiting on packets.

Licenses, DEA, boards, claims history and COI rebuilt per medical staff office. AI assembles packets from one file; committee dates stay theirs.

  • Paychecks travelers call about on payday.

Unapproved VMS timesheets, missed punches, call-offs against guaranteed hours. Wrong checks put extensions at risk. Automation clears routine exceptions; payroll approves.

  • Worked hours that never reach the invoice.

VMS-approved hours and differentials checked against payroll and rate card before the VMS closes the invoice period. Automation reconciles and flags adjustments.

  • Short pays parked in DSO.

Consolidated MSP remittances hide short-paid lines. Automation applies cash by line; AI traces each to its timesheet and drafts the dispute.

Flow diagram of where one travel start date slips and who takes each step once rebuilt: profile rekeyed for each VMS and TB, titer and BLS chasing with expiration dates go to automation, matching uploads to the facility checklist goes to AI, all three done by hand today; the recruiter submission, competency review by the clinical liaison and the facility or MSP approval of the file stay with people.

What we do, and what we leave alone

Every start date, and every audit, rides on the file.

An extension means re-collecting what expires before the end date. Outside the Nurse Licensure Compact, a single-state license can hold a start. Joint Commission staffing measures (2026 manual) check the same per diem and travel files. We take the chasing.

  • Recruiters keep submittal and fit
  • Liaison keeps competency review
  • Authorized staff clear every file
  • VMS access only as clients approve

Questions about healthcare staffing

  • Yes: Bullhorn or LaborEdge on your side, ShiftWise, Medefis or a hospital-run VMS on the client side. Clients change nothing in their VMS, and we use only the access and permissions each client approves. Submittals stay with your recruiters.

  • A fixed fee for a six to eight week discovery of one team, usually credentialing or timesheet-to-invoice. Your desks keep working under your logins. You leave with a workflow map and a fixed-price proposal for the first build, with no obligation to continue.

  • As back office cost per active clinician and DSO, measured first in hours per file, timesheet and invoice. The discovery prices each rebuild before you commit. Hours count only when a role is not backfilled or a hire not made.

  • The build automates requests, reminders, expirations and checklist matching. It makes no competency, credentialing or hiring decision: primary-source verification, competency review and clearance stay with your authorized staff, and the facility or MSP still approves the file.

  • The matching, yes. Short-paid MSP lines are traced to the timesheet and rate card, and the dispute opened in the VMS with evidence attached. Timesheet exceptions and prorated stipends are worked before close. Pay approval, tax home calls and what to concede stay yours.

  • We track Form I-9 Section 2 to its deadline: three business days after the first day of work for pay (USCIS, as of 2026). Exclusion rechecks run on the schedule your policy sets. Your qualified reviewers adjudicate background results and any FCRA adverse action notices.

How we handle regulated data

Design posture, not certification

Request documentation
BAA
Where a department handles protected health information, we execute a business associate agreement before Trace is installed or any data is accessed.
HIPAA
We execute a Business Associate Agreement before any engagement that touches PHI, and PHI is accessed only inside client-controlled systems by named individuals. Our first healthcare engagement under BAA is in progress.
Posture
Ready and aligned describe design posture, not certification. Reliable Group does not currently hold SOC 2 or ISO 27001 certification; our teams operate inside client-certified environments under client controls.
Notice
We deploy Trace only after your organization has given team members the written notice required in your state; we provide the notice template.

Your client-specific workflows, data and documentation are yours. Trace is Reliable Group software, licensed under the engagement; third-party tools keep their own license terms.
