FOR MULTI-SITE PHYSICIAN GROUPS
Each add-on brings another PM, more billers, older A/R.
As your AI operating partner, we measure one CBO team's hours, then rebuild and run what slows collections.
Who we mean
- PE-backed groups built through add-on acquisitions
- MSOs running the revenue cycle for affiliated practices
- Specialty platforms with in-office imaging, infusion, lab or an ASC
- A central business office behind local front desks
Where the hours go
New physicians and add-ons see patients before they can bill.
Lapsed CAQH attestations, incomplete applications and missed revalidations add to payer load times. Automation tracks each file and deadline.
Days in A/R climb while denials wait their turn.
Denials get worked oldest first, not by dollars, reason or filing deadline. Automation ranks the worklist; AI drafts appeals, billers sign.
Underpaid claims post as paid unless someone checks the contract.
Contract rates never loaded, ERAs unmatched to deposits, paper EOBs keyed by hand. Automation posts, matches deposits and flags payments below loaded rates.
Front desk turnover shows up as denials.
Coverage checked at the window, HMO referrals missed, copays uncollected. Eligibility and referral checks run days ahead, so new hires start from exception lists.
Procedures slip while auths sit in payer portals.
Imaging auths through radiology benefit managers, procedure auths per portal, status rechecked daily. Automation pulls status into one queue; AI reads faxes.
Charge lag holds cash before a claim exists.
Unsigned notes hold charges, hospital rounds go unbilled, scrubber edits and rejections sit queued. Automation chases signatures, matches census to charges, clears edits.
What we do, and what we leave alone
Coding and clinical calls stay with your licensed staff.
We take the CBO's administrative queues. Documentation, E/M levels, nurse triage and peer-to-peers stay with your clinicians and coders. RCM companies billing for practices have a separate offer.
What we build and run
Routine checks run on schedule. Your team works the exceptions.
Automation runs eligibility in batch three days before the visit, AI drafts appeals, and a biller signs. No physician group case is published yet.
Questions physician groups ask
In staff hours priced as cost to collect, and in queues where cash slips: underpayments posted as paid, denials past filing limits. Measured hours sit next to metrics your board and buyers track: days in A/R, denial aging, days to billable, touches per claim. No figure is promised before measurement.
A fixed fee for a six to eight week discovery of one department. Your team keeps working its queues while we measure, after any written notice your state requires. You leave with a workflow map and a fixed-price proposal for the first build, with no obligation to continue afterwards.
It is usually why the hours are where they are. Each add-on brings its own PM, fee schedule and TIN, and the CBO re-keys between them. We build in the systems you run today, and work legacy A/R run-out and payer re-enrollment when a practice converts.
One CBO, patient access or credentialing team, chosen with you for the most repeated, measurable work. Credentialing fits: CAQH re-attestation every 120 days and Medicare revalidation, every five years for most providers, are trackable deadlines. Attestations and signatures stay with the physician.
Your client-specific workflows, data and documentation are yours. Trace is Reliable Group software, licensed under the engagement. Where work still needs people, we manage them, in your entity or ours.
Through accounts your authorized staff issue and approve, after a business associate agreement; PHI stays in client-controlled systems. A portal is automated only with that approval. Where access or an integration is not available, the step stays with a named person in the queue.

- BAA
- Where a department handles protected health information, we execute a business associate agreement before Trace is installed or any data is accessed.
- HIPAA
- We execute a Business Associate Agreement before any engagement that touches PHI, and PHI is accessed only inside client-controlled systems by named individuals. Our first healthcare engagement under BAA is in progress.
- Posture
- Ready and aligned describe design posture, not certification. Reliable Group does not currently hold SOC 2 or ISO 27001 certification; our teams operate inside client-certified environments under client controls.
- Notice
- We deploy Trace only after your organization has given team members the written notice required in your state; we provide the notice template.
Your client-specific workflows, data and documentation are yours. Trace is Reliable Group software, licensed under the engagement; third-party tools keep their own license terms.
