FOR DENTAL SERVICE ORGANIZATIONS

Aging insurance AR in every office you acquire.

Reliable Group, the AI operating partner for DSOs, rebuilds the support center work that grows with every office you acquire.

Table titled where cash, cost and risk sit in a DSO support center, comparing today with once rebuilt. Acquisitions: each adds support center hires, then fee schedules loaded by rule. Insurance AR: denied for a missing x-ray, then attachments checked per payer. Collections: short pays checked by sample, then every payment checked.
A pattern, not a client result.

Where the hours go

  • Each acquisition adds support center hires.

Unloaded PPO fee schedules, TIN changes, dentists to enroll per plan. Automation loads schedules and chases enrollment.

  • Insurance AR ages, and short pays slip through.

Claims deny for missing x-rays. Automation checks each payer's attachment rules before sending, and every payment after.

  • Front desks on hold with payers, not patients.

New hires relearn every portal, and recall calls wait. Automation pulls breakdowns on each office's cadence, such as 72 hours ahead.

Before and after titled why cost to serve climbs with each office. Before: twelve gray blocks, each a way an acquired office differs: its own PMS, unloaded fee schedules, ERA never enrolled, virtual card fees, dentists to enroll, an old TIN on claims, paper EOBs, credit balances, imaging bridges, breakdown templates, narrative styles and local shortcuts. After, one way of working in every office: automation on breakdowns, claims and ERA, AI on denials and narrative drafts, and dentists and billing leads deciding.

Cost to serve

Every acquired office works its own way

Its own PMS, an old TIN on claims, paper EOBs and virtual card fees where ERA was never enrolled, unloaded PPO fee schedules, dentists still to enroll, credit balances.

Commissions, HR and onboarding rebuilt while the business grew

A field marketing organization placing Medicare plans for 225,000+ lives through roughly 1,500 agents. Reliable Group rebuilt commissions, HR and onboarding around automation and AI, and gave agents a voice assistant for plan comparison and compliance. Sales capacity held and the business grew through the year, while the corporate team went from about 450 to under 200.

Grew, capacity held

One year: the business grew and sales capacity held. The corporate team went from about 450 to under 200.

What transfers: No dental engagement is published yet; the same rules-driven queues repeat across locations, like breakdowns and posting.

Flow titled one crown, where the cash waits. Breakdown by phone, claim sent without the x-ray, denied with a narrative the dentist signs, paid below the PPO fee unnoticed, then appeal or bill the patient. Four of five steps are done by hand today. Once rebuilt, automation takes the breakdown, the attachment and the fee check, AI drafts the denial work and the narrative for the treating dentist to approve, and people decide the appeal.

What we build and run

Built so the next office runs the same way

One breakdown template on each office's cadence. Attachment rules checked before a claim goes, payments checked against PPO schedules. AI drafts narratives; the treating dentist approves each.

What DSO leaders ask

  • In support center cost per office and in collections, priced for one department before you commit. Reported by office and payer: insurance AR over 90 days, first-pass acceptance, net collection rate, credit balances, and days from a dentist's start to the first credentialed claim.

  • A fixed fee for one department, over six to eight weeks. You leave with a workflow map and a fixed-price proposal for the first build, then decide with no obligation: build it yourself, have us build and run it, or stop. The workflows stay yours.

  • It is the normal state of a DSO, and much of the re-keying lives there. The discovery measures the work across your PMS, imaging bridges and clearinghouses. For a new acquisition, it sizes PMS conversion, fee schedule loading, TIN change notices and ERA and EFT re-enrollment.

  • Both. 271 responses often lack frequencies, history and downgrade clauses, so teams still use portals or call. We use named logins your authorized staff approve, within each portal's terms and MFA. What we can pull depends on that access and on what each payer returns.

  • One central team, the offices it serves and the PMS environments they run, named with you before kickoff: verification, claims and posting, or credentialing. Credentialing tracks license, DEA and malpractice dates, plus CAQH where a plan uses it; nothing bills under another dentist's NPI meanwhile.

  • No. Diagnosis, treatment planning, charting, imaging and code selection stay with the dentist. AI drafts narratives only from the chart note and x-rays, and the treating dentist approves each one. Ortho, COB and medical cross-coding claims are built from the codes your team selects.

How we handle regulated data

Design posture, not certification

Request documentation
BAA
Where a department handles protected health information, we execute a business associate agreement before Trace is installed or any data is accessed.
HIPAA
We execute a Business Associate Agreement before any engagement that touches PHI, and PHI is accessed only inside client-controlled systems by named individuals. Our first healthcare engagement under BAA is in progress.
Posture
Ready and aligned describe design posture, not certification. Reliable Group does not currently hold SOC 2 or ISO 27001 certification; our teams operate inside client-certified environments under client controls.
Notice
We deploy Trace only after your organization has given team members the written notice required in your state; we provide the notice template.

Your client-specific workflows, data and documentation are yours. Trace is Reliable Group software, licensed under the engagement; third-party tools keep their own license terms.
